Organizing a Big Spring Break Group of 10+ for PCB

Ten-plus people is not a trip, it is a small company. Here is the org chart.

The short version: at 10+ people you need deputies, hard deadlines and possibly two places instead of one. Every person still needs their own card for the same week. Run pickup in waves, not as a herd.

Four friends can plan a trip in a group chat. Twelve friends need structure. Not because big groups are worse (they’re usually more fun), but because every small problem gets multiplied. One late payment is annoying. Four late payments mean you don’t have a place.

Appoint deputies

You’re the organizer. You are not the organizer of everything. Split the jobs:

  • Lodging lead: finds and books the place, holds the confirmation.
  • Money lead: runs the who-paid list, chases deadlines.
  • Rides lead: who’s driving, who’s flying, who rides with whom.
  • Nights lead: posts each night’s plan and meeting point.

Then you just run the timeline and keep everyone honest. DoItForBreak has a good list of roles every crew needs.

Lock the headcount early

Big groups have more maybes, and maybes destroy bookings. Set a headcount lock date, then treat it as final. Names, not “plus a couple of people from my floor.”

One place or two?

Ten-plus people under one roof sounds iconic until you’re the eleventh person on a pool float in the living room. Check max occupancy honestly, and consider two places close together instead of one overstuffed one. Either way, lock the place for the whole crew early. Start with DoItForBreak’s guide to where to stay in Panama City Beach and their take on condo vs hotel.

Cards: one each, same week

Each person needs their own PCB Club Card for the group’s week. With 12 people you’ll have a mix: a couple of Ultimates ($200), a lot of Platinums ($100), maybe a Fred’s Card or two ($80), all plus taxes and fees. Put everyone in the crew card picker, copy the result into the chat, and set a deadline. If your group knows a rep, send one rep link to everyone (see reps and promo codes).

Run pickup in waves

Pickup runs Noon to 11 PM at the Welcome Center at Hammerhead Fred’s, starting Saturday, Feb 27, 2027. Each person brings their own valid photo ID and order confirmation. With 12 people, don’t all try to arrive at the same minute. Send one car at a time, or one wave per arrival time, and have each wave post a check in the chat. More in the group pickup plan.

Nights: split into squads

A group of 12 moving through a packed party is a group of 12 that’s about to become four groups of three. Plan for it. Split into squads of three or four with a squad lead, give every squad the same meeting point, and set a check-in time. Mixed card levels matter here too: Platinum entry is free until 11 PM, so the whole group should be inside before then.

Keep the main chat clean

With 12 people, the main chat is announcements only: week, place, deadlines, pickup, each night’s plan. Squads can have their own side chats for the chaos.

squads tonight: A = me, Sam, Jo. B = Tay, Dev, Mia. C = everyone else. meet out front 9:30, inside by 10:45

The payoff

Big groups take more planning and give back more stories. Do the structure up front and you get to spend the week being one of the twelve, not the one managing them.

18+ to enter with valid photo ID. 21+ to drink with valid photo ID.

Cards for the crew

Everybody needs their own card.

Same week, card level per person: Ultimate $200, Platinum $100, Fred's Card $80, all plus taxes and fees.

Lock the place
