How to Collect Money From Friends for Spring Break

Chasing friends for money is a setup problem, not a people problem. Fix the setup once and the reminders mostly stop.

The short version: Give the crew one due date, one place to pay, one person who holds the list, and a message that states the exact amount. In our advice, have everyone buy their own PCB Club Card at checkout so you are not fronting anyone's money. Then you only collect the shared costs, like the place and gas.

You collect money from friends without chasing them by making it impossible to be vague. One due date, one place to pay, one person who holds the list, and one message that says the exact amount. Everything below is our advice, built from watching organizers get stuck being the group’s bank.

Why does chasing happen in the first place?

Usually nobody is being cheap. The message said “we should all chip in soon,” and soon is not a date. People wait for someone else to go first, pay in three different places, and you end up holding a spreadsheet nobody trusts.

Vague asks get vague answers. A number and a date get a reply.

What are the four pieces that stop the chasing?

  1. One due date. Pick it, say it, and pin it. Our suggested crew timeline: lock the headcount by Dec 1, 2026, then collect money and card choices by Jan 15, 2027. These are our dates, not PCB deadlines.
  2. One payment place. Everything goes to the same spot. Not some people in person, some by text, some “later at the condo.”
  3. One person who holds the list. Usually you, but it can be a friend who likes spreadsheets. One name per job, so “I thought you had it” never happens.
  4. One message with the amount. Not a range, not “around.” The number each person owes and what it covers.

What should the message actually say?

Copy this into the group chat and fill in the blanks. It asks for one thing and gives a deadline.

Crew, the place is $___ each. It is due Jan 15, 2027, paid to [the one place]. Reply “sent” when you have paid so I can tick you off. [Name] keeps the list. Cards are separate: pick your own week and level and buy your own. If you are out, tell me before the due date so we can re-split.

Notice what it does. The amount is in the first line, the date is in the second, and “reply sent” gives you a record without a single follow-up question. For more ready-made wording, the group chat kit has copy-paste messages for the rest of the trip.

What does a fair split look like with real numbers?

These are illustrative examples, not real prices. Plug in your own numbers with the split the cost calculator.

Example costSplitEach person
$1,800 placeSix ways$300
$2,400 placeEight ways$300
$1,200 placeFour ways$300
$60 of gasFour ways$15

One fairness idea that heads off arguments: a person who takes a private room pays a 20% premium on their share. That is our advice, not a rule, so agree on it before the amount goes out, not after.

If you have not picked a place yet, here is where to stay in Panama City Beach so the headcount and the number can be settled together.

How should card money work?

Every person needs their own card. One card covers one week, and each person picks a week and a level. PCB Club Card prices are plus taxes and fees: Ultimate is $200, Platinum is $100 and Fred’s Card is $80. Cards are on sale now, and PCB has announced no group discount, group package or bulk price.

Our advice: do not collect card money at all. Send everyone to check out for themselves, so each person owns their order confirmation and you are not out of pocket if someone flakes. You can see the PCB Club Card levels (opens pcbclubcard.com in a new tab) and buy there. Disclosure: PCB Party Pass is a partner of the PCB Club Card and may earn a commission on cards bought through our links.

If the crew wants a level for each person, the crew card picker helps you sort that out before anyone pays.

For context, PCB’s own example totals show how mixed crews add up: three friends with one Ultimate, one Platinum and one Fred’s Card come to $380, and six Platinum cards come to $600, both plus taxes and fees. Post the per-person number in the chat so nobody does the math wrong.

What if someone drops out?

Decide this before the first payment, not after. For cards, refunds are available up to 7 days before your week starts, so Week 1 refunds close Feb 20. A card may also be transferred to another eligible attendee before pickup.

For the shared costs, say in the message that a dropout means a re-split, and that you will post the new number the same day. Having it written down beforehand takes the sting out.

What if someone still does not pay?

Reply to the thread, not to the person. A short nudge with the amount and the date works better than a long talk. If it drags on, our playbook on the one friend who won’t pay covers the harder conversations.

Keep the tone boring. The more it sounds like admin, the less it sounds like an accusation.

Quick questions

Should I collect the money myself or let someone else hold it?

Either works if one person holds the list and everyone knows who it is. Pick whoever is most organized and least likely to lose track, and say the name in the pinned message.

How do I keep track of who has paid?

Ask for a one-word reply like "sent" and keep a simple list with names, the amount and a paid column. Post an updated list in the chat after the due date so everyone sees the same thing.

Do I need to collect money for the PCB Club Card?

You do not have to. Each person needs their own card anyway, so we suggest each friend buys theirs directly. If you want to ask about someone buying or picking up for others, ask PCB Club Card at pcbclubcard.com/contact/.

When should I send the first money message?

After the headcount is locked. Our suggested timeline is headcount by Dec 1, 2026 and payments in by Jan 15, 2027, so send the amount message once you know how many ways the cost splits.
