The Organizer’s Week-Of Checklist for PCB Spring Break

The week before spring break is when the organizer’s brain turns into an airport departures board. This list is here so you can stop holding it all in your head. Screenshot it, or tick it off in the full group checklist.

Seven days out

• Confirm the place. Address, check-in time, check-in ID rules, parking. Pin it in the chat. Still need somewhere? Start with where to stay in Panama City Beach and their guide to how early to book.
• Confirm every card. Each person needs their own PCB Club Card for your week. Ask for a ✅ and a screenshot of each confirmation.
• Re-check the card details. Cards, pickup and events can be updated. Give PCB Club Card's FAQ a two-minute read.
• Close out the money. Anything still owed for the place gets paid this week. Use the split calculator if numbers changed.

Five days out

• ID check. Everyone looks at their photo ID today. Expired? Fix it now. 18+ to enter with valid photo ID, 21+ to drink with valid photo ID.
• Rides. Who’s driving, who’s riding with whom, departure times. Drivers get gas covered (it’s the rule).
• Packing. Point the group at DoItForBreak’s what to pack for PCB spring break so you don’t answer “should I bring a jacket” 12 times.
• Theme-night outfits. Check which parties land in your week on PCB Club Card's event calendar. If St. Patty-Gras (Wednesday, March 17) is in your week, plan green.

Two days out

• Buddy pairs posted. Same buddy all week unless swapped on purpose.
• The first-night plan. Where you’re going, meeting time, meeting point, how you’re getting home.
• Offline copies. Every person saves their order confirmation and the place’s address as screenshots.

Travel day

• Departure check: everyone has their ID, phone charger and confirmation.
• Group playlist loaded (yes, it’s on the list).
• Post an arrival estimate in the chat so late cars know where to go.

Arrival day: pickup first

Drop bags, then go get the cards together. Pickup runs Noon to 11 PM at the Welcome Center at Hammerhead Fred’s (8752 Thomas Dr), starting Saturday, Feb 27, 2027. Each person brings their own valid photo ID and their order confirmation. With a big group, go in waves. Full plan: group pickup.

Night one

• Meeting point posted before you leave the place.
• Mixed cards? Platinum entry is free until 11 PM, so arrive together before 11.
• Check-in time set, “home” message rule on.

Then: hand it off

The trip is planned. The cards are in wallets. Hand the nightly plan to your nights lead, put your phone in your pocket and enjoy the week you built. You earned it.
